The Alluvium Group in the Mekong

The countries of the Lower Mekong Basin (LMB) are facing huge challenges in adapting their populations and economies to a rapidly changing climate. Alluvium takes a science based, ecosystem-focussed and collaborative approach to working with government, private sector and communities to address these challenges. Alluvium’s work in the LMB is organised across three main programs: integrated water, climate resilience and energy transition. Within these programs, Alluvium is implementing projects across the Mekong region on a range of topics such as water scarcity, climate adaptation, impacts of  hydropower development, climate resilient water management, nature-based solutions, river basin planning, water governance and water resources modelling.

We have grown across the region with team members now based in Ho Ch Minh City, Can Tho, Vientiane, Bangkok and Phnom Penh.

But there’s more work to do. We need your help in growing a thriving business providing trusted and innovative consulting services at the intersection of people and nature.

 

About this role

We are seeking a versatile and highly organized

Administrative Assistant to provide support to our Mekong office and provide executive assistance to senior leadership.

The position will be based in our Ho Chi Minh City office.

 

Office administration

  • Support day-to-day office operations, ensuring a professional, organized, and efficient work environment.
  • Implement and maintain filing systems, both physical and digital, ensuring easy retrieval of documents.
  • Provide administrative and logistical support to Alluvium projects across Southeast Asia.
  • Assist with report preparation and formatting.
  • Support onboarding processes for new employees.
  • Process invoices, track payments, and maintain vendor relationships
  • Assist with basic bookkeeping tasks and expense tracking
  • Maintain accurate and organized records in compliance with company policies.

 

Executive assistance

  • Manage calendars, including scheduling meetings, appointments, and conference calls across multiple time zones
  • Arrange detailed travel itineraries, including flights, accommodations, ground transportation, and visa requirements
  • Process expense reports and maintain accurate records of executive expenditures
  • Organize and coordinate internal and external meetings, including logistics, catering, technology setup, and materials preparation
  • Record, transcribe, and distribute meeting minutes and action items
  • Track project deadlines and follow up on pending items to ensure timely completion
 
Skills and Experience

 

Education & experience:

  • Bachelor’s degree in Business Administration, Management, or related field preferred
  • Minimum 2 years of progressive experience in office administration or executive assistance roles
  • Experience in a consulting, professional services, or corporate environment strongly preferred
  • Experience working in international development desirable.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), and video conferencing platforms.
  • Self-motivated with the ability to work independently with minimal supervision
  • Flexible and adaptable to changing priorities and business needs
  • Professional demeanour with strong interpersonal skills
