Position Overview

 

The Associate, People Operations (POA) will be responsible for supporting Manager, People Operations (POM) in managing People Operations support services include personnel administration, logistics support for hiring process, logistics support for staff development and Room to Read  learning resources, staff meeting and team building activities, staff orientation program, management of employment contracts and personnel records, administer compensation and benefits plan, and follow up People Operations-related rules and regulations. This position will directly report to the Manager, People Operations. You will be guided and supported by the Manager, People Operations in your day-to-day work and professional development.

 

Responsibilities

 

HR Operations & Compliance:

  • Facilitate operational systems for managing necessary people operations functions to implement the approved policies including Employee Handbook, Travel and Expense Reimbursement Policy and other employee-related rules and regulations.
  • Compile and update information includes preparing People Operations log report, updating monthly staff contact list, and updating employee bio information.
  • Provide regular updates on People Operations activities and plans at regular meetings with Country Office staff and Global Office as and when required.
  • Manage expatriate staff status (work permit, temporary residential card, visa).
  • Coordinate and follow up closely with Room to Read’s vendor on tax – insurance – legal matters.
  • Able to work independently and coordinate with Global People Operations team on related matters (e.g. Workday)
  • Able to understand and advise on contracts, e.g. labor contracts, individual consultant contracts.
  • Handle annual benefit-related activities (e.g. health check, premium health & accidental insurance).
  • Handle routine secretarial tasks for People Operations Department e.g. filing, budgeting, financial disbursement process and drafting routine correspondence with staff and partners (birthday wishes cards, holiday announcements, etc.)
  • Act as a trusted point of contact on People Operations matters, providing guidance and support as needed and/or assigned.

 

Recruitment:

  • Coordinate job announcement process, application screening, and interview/written test process.
  • Take part as an interview panel member as and when needed.
  • Conduct and facilitate orientation sessions and Room to Read’s Ethics Policies.
  • Support POM to follow up staff’s probation and employment performance regularly.

 

Learning & Development:

  • Coordinate and organize logistics for both in-house and off-site staff training, workshop, meeting and other capacity building programs to meet the identified development needs. Maintain all records related to staff development activities.
  • Educate Room to Read Vietnam staff members (new & existing staffs) on changes/updates of personnel policies and guidelines, compensation and benefits, as well as respond to general and specific inquiring on People Operations’ issues.

 

Employee engagement and Communication:

  • Determine and recommend employee relations practices necessary to establish positive employee-employee and employee-employer relationship.
  • Follow up on all operational and logistical matters with regard to staff-related activities include support logistics for grouped trainings/workshops, staff forums, staff annual meet-ups (retreat) and other team building activities.
  • Work closely with program team on consultant service requests to ensure the quality and efficiency of the outcomes.
  • Facilitate staff’s employment milestones program as per Room to Read policy.

 

Other duties:

  • Perform other duties as assigned by the supervisor.

 

Qualifications:

 

Required:

  • Bachelor’s degree in Human Resources Management, General Management, Administration or related field.
  • Minimum of 2-3 years of professional experience in Human Resources or Administrative position.
  • Experience in successful implementation of a wide range of responsibilities in a prior human resources or administrative position.
  • High level of reliability, honesty, and trustworthy.
  • Good facilitation skills and ability to manage groups.
  • Ability to work independently, under pressure.
  • Good/professional verbal and written communication skills in English and Vietnamese.
  • Computer literate: Ms Word, Excel, Power Point, and any Human Resources Management database.

 

Preferred:

  • Experience in supporting and developing the Human Resources Department in non-profit organization.
  • Good decision-making, reasoning, judgment, coordination, and collaboration skills.
  • Strong planning and management skills.
  • Strong organizational skills with good attention to details.
  • Strong people-oriented skills with good teamwork spirit.
  • Ability to work with external vendors as required.
  • Willing to travel and work at the field if required.
