About FHI 360
FHI 360 is an international non-governmental organization that, in Vietnam, promotes the health and well-being of the Vietnamese people, particularly vulnerable and marginalized populations. It works with the Vietnam Ministry of Health and other national bodies, as well as provincial and district-level health services, to achieve project aims. FHI 360 is currently implementing programs to address HIV and TB prevention, testing, and treatment; COVID-19; anti-microbial resistance; health system strengthening; maternal and child health and nutrition; and diagnostic and laboratory services.
FHI 360 is seeking a proactive and detail-oriented Vietnamese short-term consultant to join our team serve as a operations assistant, Hanoi based, with expected 40 working days until September 30, 2026.
Scope of Work
The specific tasks for this position include but are not limited to the following:
- Assist with logistical arrangements for business travel, training sessions, and workshops.
- Prepare Expense Authorizations (EAs), provide the necessary information to the accounting team for travel advance processing, and follow up on the clearance of travel advances.
- Receive and review expense receipts, ensure that all required supporting documentation is complete, and submit reimbursement requests in a timely manner.
- Prepare and submit payment requests through Costpoint.
- Coordinate with suppliers and vendors to obtain bills and invoices, review supporting documentation for completeness and accuracy, and submit payment packages to the accounting team for processing.
- Perform administrative and clerical duties to support supervisors and office staff, contributing to the efficient operation of the office.
- Carry out other administrative tasks and responsibilities as assigned by the supervisor.
Location of Work: Hanoi
Time: from date of contract signing to September 30, 2026
Travel: not required
Qualifications:
- Bachelor’s degree in English, office administration or related field.
- Minimum 2 years’ experience in administrative or translation role.
- Experience working with public health or NGO projects is an advantage.
- Strong organizational skills and ability to prioritize
- Interest in learning new skills as part of a dynamic team
- Proficiency in MS Office package (Word, Excel, and PowerPoint, etc.).
