DEVELOPMENT COORDINATOR

Position Profile
The AIP Foundation is seeking a full-time position of Development Coordinator (DC) who is based in HCMC, Vietnam and reports directly to the Development Manager (DM). The DC is responsible for coordinating all aspects of fundraising and development activities, from planning to execution and monitoring. Under the direction of the DM, the Development Coordinator works with members from AIP Foundation’s Country Offices team (Vietnam, Cambodia, Thailand), and Global team (Finance, Monitoring & Evaluation, Communications teams) to design projects and develop winning proposals to secure funding for the organization.
Point person for:
- Fundraising coordination, administration, and maintenance actions, including partnership management, lead generation, and proposal development
- Support Country Offices with program report finalization and external English-based publications (i.e. press releases, policy briefs, etc.)
Key Responsibilities
The responsibilities listed below are inclusive, but not exhaustive, of the role. It is reasonable to assume that additional tasks will be required, as and when necessary.
- Research, Networking & Funding Identification
- Remain up-to-date with current fundraising trends and review the strategic fundraising/development environment
- Conduct research and network to identify new potential donors from individuals, corporates, foundations and multi-lateral/bi-lateral aid sources; compile profiles of potential funders
- Examine relationships pipeline, develop and implement strategy for approach and relationship cultivation with past, current and new partners
- Coordinate to maintain an accurate database of past, current donors, and potential future donors
- Proactively work with Country offices and DM to create new fundraising ideas
- Develop briefing documents, talking points, and presentations for conference/events attendance; and support the effective follow-up of leads
- Proposal Development and Contract Negotiation
- Prepare pitch decks and presentations to deliver to potential donors and key stakeholders
- Coordinate with Country Offices from different countries and the Global team to design projects for proposal development
- Assist Country Offices to develop effective fundraising ideas and plans
- Develop and write “award-winning” proposals to potential donors and partners
- Draft, review, and finalize contracts with partners
- Conduct kick-off meetings to inform relevant departments (Country Offices, M&E, Communications, and Finance) of their responsibilities related to a grant
- Liaise between donors and AIP Foundation’s Communications team to ensure partners are appropriately acknowledged in AIP Foundation’s communication materials, publications, and websites.
- Grants and Relationship Management
- Provide in-country assistance to country-level and global-management with the oversight of grants, including monitoring overall implementation plans and timelines and following-up with Programs team to ensure grant compliance and timely completion
- Coordinate with the Country Offices and Global team to develop and share project activities updates, milestones reports and grant reports according to the grants requirements; ensure that reporting requirements are met to sustain successful partnerships
- Coordinate with the Country Offices and Global team to identify opportunities for promotion of the project activities, achievements and impacts to ensure project visibility across AIP Foundation’s global communication platforms and relevant partners’ network;
- Monitor and update contractual deadlines for potential and existing partnerships (i.e. Proposals, Program Reports) on the Development Calendar – notifying key department leads to ensure organizational obligations are met
- Coordinate to prepare for and host donor visits, as well as other relevant occasions to strengthen relationships
- Act as the contact point for assigned relationships to represent AIP Foundation externally and coordinate donor requests internally
- Identify recommendations to improve the efficiency and functionality of internal databases relevant to partner relationship management.
- Other Tasks:
- Support Programs team for special events, as required
- Support with English editing for correspondence with selected donors
- Support Finance/ HR and/or Operations team with completion of due diligence request from donors.
- Other tasks as required to support partnership cultivation and relationship management
Requirements: Qualifications, Experience, Skills
- Bachelor’s Degree in International Development, Business, Public Affairs or relevant field;
- Experience in fundraising, grant writing and partnership development for nonprofit organizations;
- Experience in income-generating strategies and capacity to coordinate and implement fundraising strategies;
- Excellent interpersonal, cross-cultural, communication and presentation skills and the ability to work effectively in a team;
- Exceptional verbal and written communication skills in English; including demonstrated ability to tailor communications to be effective for a range of audiences and purposes;
- Ability to analyze information, evaluate options and work strategically with problem-solving mindset;
- Ability to be creative and innovative in designing new projects and long-term strategies;
- Ability to work in a fast-paced environment, coordinate with multiple stakeholders, and manage often-competing priorities simultaneously;
- Minimum 1-2 years of work experience in a similar role;

Desirable Qualifications, Skills, and Experiences:
- Demonstrated interest in international development, public health, and road safety;
- General experience with non-governmental organizations, preferably international, including in the areas of development, communication, and monitoring and evaluation;
- Experience working in a fundraising capacity with $500k+ annual target;
- Strong public relations and marketing skills with demonstrated experience engaging with external clients/stakeholders;
- Experience studying/living/working abroad in multi-cultural environments
