PROGRAM ASSISTANT
Duty station: Ho Chi Minh City, Vietnam

Position Profile
The AIP Foundation is seeking a full-time position of Program Assistant based in Ho Chi Minh City. A key focus of this position is to support the implementation of AIP Foundation’s projects and programs at the Viet Nam Country Office, coordinating closely with both internal and external stakeholders. The Program Assistant works under the direct supervision of the Senior Program Manager (PM) and reports to that Manager, while also providing occasional support to the Country Manager (CM) for ad hoc assignments as required.
Key Responsibilities
The responsibilities listed below are inclusive, but not exhaustive, of the role. It is reasonable to assume that additional tasks will be required, as and when necessary.
- Program Support & Implementation
- Assist Senior Program Manager in the planning, coordination, and implementation of assigned project activities.
- Provide logistical support for events, trainings, workshops, and school-based activities, including venue arrangements, participant communication, and materials preparation.
- Support the design and roll-out of public awareness campaigns, advocacy initiatives, and school-based road safety activities.
- Monitor activities conducted by partners and stakeholders to ensure adherence to project work plans and timelines.
- Administration & Logistics
- Provide administrative support including project updates, translation (English–Vietnamese–English), managing invoices, preparing expense reports, and maintaining project databases and filing systems.
- Manage relationships with vendors, suppliers, and service providers to ensure timely delivery of goods and services.
- Assist with procurement and contract management for project-related needs.
- Communication & Reporting
- Support the preparation of program materials, including reports, presentations, training materials, and communication content.
- Assist in preparing donor and government partner reports in compliance with internal and external requirements.
- Contribute to communication and outreach efforts related to the three projects, ensuring accurate and professional representation of project activities.
- Stakeholder Engagement
- Support the development and maintenance of positive relationships with government counterparts, sponsors, schools, media agencies, and other stakeholders.
- Participate in meetings, workshops, and trainings to enhance professional development and program impact.
- Other Tasks:
- Perform any other duties as assigned by the Senior Program Manager and/or Country Manager to support the successful delivery of AIP Foundation’s projects.
Requirements: Qualifications, Experience, Skills
- Bachelor’s degree in Public Health, International Development, Education, Social Sciences or a related field.
- At least 1-2 years of relevant work experience in program support, project coordination, administration, or related roles.
- Experience supporting events, workshops, or training activities, including logistical coordination.
- Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
- Experience providing administrative support, including preparing reports, managing documentation, and processing invoices and expense reports.
- Demonstrated ability to coordinate with multiple stakeholders, including partners, vendors, and government counterparts.
- Good written and verbal communication skills in both Vietnamese and English, including translation (English – Vietnamese – English).
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- High level of attention to detail and accuracy in documentation and reporting.
- Ability to work independently as well as collaboratively within a team environment.
- Willingness to travel domestically as required for project activities.
