Senior Project Coordinator

 

ICEM – International Centre for Environmental Management is an award-winning independent centre that assists government, private sector and communities to achieve ecologically sustainable development. Established in Australia in 1999, ICEM has its regional headquarters in Hanoi and is staffed by full-time international and national technical and administrative personnel.

 

ICEM works in Asia and the Pacific and focuses on climate change, water resources management, disaster risk reduction, renewable energy, environmental assessment, environmental economics, nature-based solutions and conservation of biodiversity. ICEM seeks to integrate environmental concerns with development through spatial planning, modelling, socio-economic analysis and environmental assessment tools. 

 

ICEM is seeking to employ a Senior Project Coordinator based in Hanoi, Vietnam. The ICEM Senior Project Coordinator will provide support in the technical and administrative management ICEM projects.  This post will deal with international projects and teams so excellence in oral and written English is essential.  The extent to which the Senior Project Coordinator becomes involved in technical aspect will depend the successful applicant’s experience and expertise.

 

Key responsibilities:

Working closely with Technical Project Managers, and reporting to Operations Director, the Senior Project Coordinator is responsible for but not limited to:

  • Lead the coordination of project activities to ensure timely implementation in line with approved work plans and deliverables.
  • Facilitate all operational and logistical aspects of assigned projects.
  • Organize and implement project field missions, workshops, seminars, training sessions, and related events.
  • Prepare draft agendas and minutes of meetings and ensure timely documentation and followup of action points.
  • Provide support to technical components of projects and reporting, as required.
  • Prepare draft contracts for individual consultants and sub-contract agreements with partners.
  • Support contract administration and monitor consultant inputs in accordance with contractual terms.
  • Collect and consolidate monthly timesheets and expense claims from consultants and partners.
  • Assist in the preparation of monthly statements of consultant input.
  • Prepare cost estimates for field missions, workshops, and other project-related activities.
  • Support budget preparation, revisions, monitoring, and financial reporting in compliance with organizational procedures.
  • Assist in the preparation of project progress reports, ensuring accuracy and timeliness.
  • Coordinate the procurement of project equipment, goods, and services (including surveys, transportation, translation, and other required services) in accordance with procurement policies.
  • Provide administrative and logistical support to project consultants and stakeholders.
  • Support client relationship management activities and maintain effective communication with project stakeholders.
  • Ensure professional representation of the organization in all project-related interactions.

 

Qualification requirements:

  • University degree (preferable at Master’s level) in environment related fields, economics, business administration or languages;
  • A minimum of 5 years of professional experience in project management and implementation in related field;
  • Excellent spoken and written English;
  • Excellent computer skills – Microsoft Word, Excel and Power Point.
  • Effective facilitation, communication and interpersonal skills;
  • Ability to travel to project sites within Vietnam and in the Mekong countries;
  • Ability to work independently and/or in small teams and be flexible;
  • Secretarial skills;
  • Planning and organizational skills; and
  • Demonstrated passion and commitment to ecological sustainability and associated development work.
