About the position
We are searching for a Temporary Staff – Program Assistant to provide efficient and effective administrative and logistical support to research programs within CIAT.
Key duties & responsibilities
- Support the arrangement of travel for research staff, including booking air tickets, accommodation, airport taxis, car rent, keeping records of such and supporting travel expenses claims;
- Support logistical arrangements for meetings, seminars and conferences, and other events (including invitations, air tickets, hotels, interpreters, tea break and lunch etc.) and relevant follow-up; Prepare non-technical minutes of meetings as required by research staff;
- Collect required documentation for the hiring of interns, visiting researchers, national/international consultants, service providers;
- Collect invoices from consultants or service providers to process contract liquidations;
- Carry out other administrative duties as required by the research areas.
Required qualifications and experience
- Technology career or equivalent in administration, logistics, accounting, political sciences, international relations or related fields;
- A minimum of 1 year of relevant experience, preferably in an NGO or international working environment (in logistics and/or administrative support is an advantage);
- Good command of the English language, both written and spoken;
- Proficiency in Microsoft Office package (Word, Excel, PowerPoint, Teams and Outlook);
- Sound knowledge of standard office procedures;
- Strong client orientation and service approach;
- Strong interpersonal, communications, and teamwork skills; courtesy, tact, and the ability to establish and maintain effective working relationships with people from different cultural and national backgrounds;
- Well-developed skills in personal organization and accuracy.
Terms of contract
This position is a national recruited position based in Hanoi, Vietnam. The position is expected to start from 20 September 2025 until 19 December 2025, and is renewable depending on performance and availability of resources.
